Privacy policy

Summary

Disclosio is a secure document-disclosure and case-management platform operated for licensed law firms and their clients. We do not sell your personal information. We do not share your information with third parties for advertising. We use only the data we need to deliver legal-workflow services your firm has authorized.

1. Who we are

Disclosio is provided by Dependable IT Services LLC ("Dependable IT Services," "we," "us"). The Disclosio service is licensed to law firms (each, a "Firm") who in turn use it to communicate with their clients about open legal matters. Where this policy refers to your "Firm," it means the law firm that has invited you to use Disclosio.

2. What information we collect

  • Account information: name, email address, phone number (if provided), professional role, and the firm you are associated with.
  • Authentication data: hashed password, multi-factor authentication settings, login timestamps, IP address, and device fingerprints, used solely to secure your account.
  • Matter and document data: documents you upload, checklist responses, messages you send through the platform, and metadata about disclosure activity. This information is owned by your Firm; we hold it only as a service provider.
  • Notification preferences and contact channels: your email and SMS opt-in/opt-out status, quiet-hours preferences, and a record of notifications we have sent you.
  • Service logs: request logs, audit-trail entries, and security-event records generated by your use of the platform.

3. How we use your information

  • To provide the Disclosio service to you and your Firm.
  • To send you transactional notifications about your matters (document requests, status updates, deadlines, security alerts).
  • To maintain the security, integrity, and availability of the service.
  • To meet legal, regulatory, audit, and professional-responsibility obligations.
  • To support your Firm's administrators when they request help.

4. We do not sell or share your data

Disclosio does not sell your personal information. Disclosio does not share your personal information with third parties for advertising, cross-context behavioral profiling, or marketing purposes.

We share information only with service providers we use to operate the platform (for example, our cloud-hosting provider, our email and SMS delivery providers, and our analytics-free error-monitoring tools), and only to the extent they need it to perform that work on our behalf. These providers are contractually bound to keep your data confidential and are prohibited from using it for their own purposes.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are excluded from all of the sharing described above and will not be shared with any third parties.

5. Email notifications

Disclosio sends transactional email through Microsoft 365. Email delivery is required to make the service work (you cannot opt out of critical security and account-related emails) but you may opt out of non-essential email reminders from your notification preferences page after you sign in.

6. SMS notifications

If you have provided a mobile number and opted in to SMS, Disclosio may send you transactional text messages about your matters (document requests, deadlines, replacement-document requests), one-time security codes (PINs) for documents shared with you, account security events, and case workflow updates from your Firm. Disclosio does not send marketing or promotional text messages.

How to opt in: You can sign up on our text messages page or turn on text message notifications from your Disclosio notification preferences page after signing in. Either way you check a box that is never pre-selected. Consent to receive text messages is not a condition of using Disclosio.

Frequency: Message frequency varies based on your case activity. Most users receive fewer than five SMS messages per week.

Cost: Standard message and data rates may apply depending on your mobile carrier and plan. Disclosio does not charge you to receive text messages.

How to opt out: Reply STOP to any Disclosio text message at any time to immediately unsubscribe from all SMS notifications. You can also disable SMS notifications from your Disclosio notification preferences page after signing in.

How to get help: Reply HELP to any Disclosio text message, or contact your Firm directly. You can also email support@disclosio.com.

Carrier disclaimer: Mobile carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. We do not use your mobile number for any purpose other than delivering the Disclosio notifications you have opted in to.

7. Data retention

We retain your account information and matter data for as long as your Firm maintains an active subscription to Disclosio, plus any additional period required by law, professional-responsibility rules, or your Firm's document-retention policy. When your Firm terminates its account, we delete or return Firm-owned data in accordance with the agreement between us and your Firm.

8. Your rights

Depending on where you live, you may have the right to access, correct, or request deletion of your personal information. To make a request, contact your Firm directly (your Firm controls the matter data) or email privacy@disclosio.com. We will respond within the time required by applicable law.

9. Security

Disclosio uses encryption in transit (TLS 1.2+), encryption at rest for sensitive integration secrets, role-based access controls, comprehensive audit logging, and continuous insider-risk monitoring to protect your information. No system is perfectly secure; we will notify your Firm and, where required, you directly, if we become aware of a breach affecting your information.

10. Children

Disclosio is not intended for use by individuals under the age of 13 and we do not knowingly collect information from them.

11. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised "Last updated" date and, where appropriate, communicated to you by email or in-app notice.
